Privacy Policy
Last updated: 24 October 2026
Notelope (formerly Briefly) is a Windows app that records your online meetings on your own PC and turns them into a transcript, a summary, action items and a recap email. This policy explains what data Notelope handles, where it goes and how long it is kept. In this policy, "Notelope", "we" and "us" mean the team that runs the Notelope service.
The short version: your audio is saved on your PC. To make a recap it is sent to our server and to our AI processing provider, used for that one job and then deleted. The transcript and summary stay in your Notelope account until you delete them. We don't sell your data or use it for advertising.
1. What we collect and why
| Data | Why | Where it is kept | How long |
|---|---|---|---|
| Meeting audio (your microphone and your computer's sound) | To create your transcript and summary | On your PC. During processing, also briefly on our server and at our AI processing provider | On your PC: until you delete it, or automatically after 7, 30 or 90 days (your setting). On our server and at the AI provider: deleted as soon as processing ends |
| Transcript, summary, action items, task cards and recap email | To show you your meeting history and tasks | Our database | Until you delete the meeting, or automatically after 30, 90 or 365 days if you turn that on |
| Account details: email address, display name, password (stored only as a secure hash) | To let you sign in | Our database | Until your account is closed |
| Meeting date and length, minutes used | To apply your usage allowance | Our database | Kept even after you delete a meeting (without its title or content), so used minutes still count |
| Feedback you send (thumbs up/down and an optional comment) | To improve the recaps | Our database | Deleted with the meeting it belongs to |
| Connections to Jira, Notion or Asana: access tokens, the site or workspace name and the project you chose | To create issues, pages or tasks when you click "Send to…" | Our database; tokens are encrypted | Until you click Disconnect, or the tool revokes access |
| Waitlist sign-ups on notelope.com (formerly getbriefly.in): your email address and which form you used | To invite you to test Notelope | Our database, plus one notification email to us | Until you ask us to remove it, or the beta ends |
| Technical logs: IP address, time and type of request, errors | To keep the service running, stop abuse (for example rate limits) and fix problems | Our server; app logs on your PC | Server: about 14 days. App on your PC: 7 days. Logs never contain audio, transcripts or passwords |
2. Recording other people
Notelope records everyone you can hear in a call. You are responsible for telling the other participants and getting their consent where the law requires it. Notelope reminds you of this, never starts recording on its own, and no bot joins your meeting.
3. Services we use
We use a small number of carefully selected service providers, and share with each only what it needs to run Notelope:
- AI processing: a major cloud AI provider turns audio into a transcript and writes the summary. We use its paid business service, under which your content is not used to train its models. Uploaded audio files are deleted right after processing.
- Cloud hosting and database: providers that run our server in India and our database in Singapore.
- Email delivery: a provider that sends us a notification when someone joins the waitlist.
- Tools you connect: Jira (Atlassian), Notion and Asana receive a task's title, owner, due date, priority, the notes discussed about it and the meeting name, only when you click "Send to…". Once created there, it is governed by that tool's own privacy policy.
- Website fonts: a third-party font service delivers the fonts on this website, so it receives your IP address when you visit. The website sets no cookies and uses no analytics or tracking.
Because of these providers, your data may be processed in India, Singapore, the United States and other countries where they operate.
4. How we protect your data
- All traffic between the app, the website and our server is encrypted (HTTPS).
- Passwords are stored only as BCrypt hashes. Your sign-in token on your PC is encrypted with Windows DPAPI.
- Access tokens for Jira, Notion and Asana are encrypted in our database (AES-GCM).
- Every request is checked so that you can only ever see your own meetings and tasks.
No system is perfectly secure. If we learn of a breach that affects your data, we will tell you without undue delay.
5. Your choices and rights
- Delete a meeting in the app at any time. This erases its transcript, summary and task cards from our server and its audio from your PC.
- Turn on automatic deletion in Settings, for recordings on your PC and for summaries on our server.
- Disconnect Jira, Notion or Asana in Settings to delete the stored tokens.
- Ask us for a copy of your data, to correct it, or to close your account and delete everything, by writing to notelope.info@gmail.com. We reply within 30 days.
Depending on where you live, laws such as India's Digital Personal Data Protection Act, 2023 or the EU/UK GDPR may give you further rights, including the right to complain to your data protection authority.
6. Children
Notelope is meant for professionals and is not intended for anyone under 18.
7. Changes to this policy
If we change this policy, we will update the date at the top. For important changes we will also tell you in the app or by email before they take effect.
